MinMax Pro for Zoom
MinMax Pro creates a separate Zoom meeting for every client booking, on the Zoom account of the person the booking is with. The join link goes into the client’s confirmation email and calendar invite. When the booking is rescheduled, the meeting moves with it; when the booking is canceled, the meeting is deleted.
Requirements
- A MinMax Pro account with online booking turned on.
- A Zoom account for each person who takes bookings. Each person connects their own; a booking is never put on a colleague’s account.
Adding the App
- Sign in to MinMax Pro at minmaxpro.com/login.
- Open Settings, then the Email & Texting tab.
- On the Zoom card, press Connect Zoom.
- Sign in to Zoom if asked, review the permissions listed below, and press Allow.
- Zoom returns you to MinMax Pro. The Zoom card shows the connected Zoom account and the note “Connected. New bookings with you get their own Zoom meeting.”
Using the App
- Open Schedule, then More, then Meeting Types.
- Open a meeting type, or create one, and set its Location to Zoom (New Meeting per Booking). You can also enter a fallback video link, used only if Zoom cannot create the meeting. Save the meeting type.
- When a client books that meeting type, MinMax Pro creates a scheduled Zoom meeting on your account at the booked time and for the booked length. Its join link appears in the confirmation email, the calendar invite, the Add to Calendar links and on the appointment in MinMax Pro.
- When the client reschedules from their confirmation email, the Zoom meeting moves to the new time. If the booking moves to a different person, the meeting is recreated on that person’s account and the old one is deleted.
- When the client cancels, the Zoom meeting is deleted.
Zoom never stops a booking. If Zoom is down, slow or refuses the request, the booking still goes through: the client receives the fallback link when the meeting type has one, and your office receives a notification so someone can send the link by hand.
Removing the App
You can remove the app from either side.
- From MinMax Pro: open Settings, then Email & Texting. On the Zoom card, press Disconnect and confirm. MinMax Pro revokes its access with Zoom and deletes the stored tokens.
- From Zoom: sign in to the Zoom App Marketplace, open Manage, then Added Apps, find MinMax Pro and press Remove. Zoom notifies MinMax Pro, and the stored tokens are deleted as soon as that notice arrives.
After removal:
- No new Zoom meetings are created on your account. New bookings of a Zoom meeting type use its fallback link, and your office is notified.
- Meetings already created stay in your Zoom account. They are your meetings, and you can keep or delete them in Zoom.
- Join links already on bookings stay with your business’s records in MinMax Pro and are deleted with the rest of its data, as the Privacy Policy describes.
- You can reconnect at any time by following Adding the App again.
Permissions
MinMax Pro asks Zoom for four permissions and nothing else.
meeting:write:meeting: create the meeting when a client books.meeting:update:meeting: move the meeting when the booking is rescheduled.meeting:delete:meeting: delete the meeting when the booking is canceled.user:read:user: identify which Zoom account you connected, so it can be shown on the Zoom card and disconnected if you remove the app in Zoom.
MinMax Pro cannot read your other meetings, recordings, transcripts, chat, contacts or files.
Data and Privacy
- Sent to Zoom for each booking: a meeting topic made of the meeting type’s name and the client’s name, the start time, the length, the time zone, and a one-line agenda naming who booked.
- Stored by MinMax Pro: the access and refresh tokens Zoom issues, encrypted at rest; the Zoom user ID and email address of the connected account; and, on each booking, the Zoom meeting ID and join link. The host’s start link is never stored.
- Never done: Zoom data is not sold, not used for advertising and not used to train artificial-intelligence or machine-learning models.
The full terms are in the MinMax Pro Privacy Policy and the Terms of Service. All traffic between MinMax Pro, your browser and Zoom is encrypted with TLS 1.2 or higher.
Troubleshooting
- The Zoom card says “Reconnect to start creating meetings again.” Zoom withdrew access, usually because the app was removed in Zoom or the Zoom password changed. Press Connect Zoom again.
- A client received the fallback link instead of a new meeting. Check that the person the booking was with has connected Zoom on their own Settings page. The notification your office received names the reason.
- Zoom shows an error when you press Allow. Make sure you are signed in to the Zoom account you mean to connect, then try again. If it persists, contact support below.
